# How to Set Up Emergency Response Planning

> Configure emergency contacts, manage ERP documents, schedule exercises, and monitor readiness to meet 14 CFR 5.27 requirements.

By following this guide, you will configure emergency contacts, manage ERP documents, schedule exercises, and monitor readiness to meet 14 CFR 5.27 requirements.

  **Who should read this:** Safety managers and admins responsible for
  emergency response planning. The accountable executive should review
  the readiness score during management reviews.

  **Prerequisites:** Safety manager or admin role. Have your
  organization's emergency contacts, ERP documents, and exercise
  schedule available before configuring the module.

## ERP Dashboard Overview

Navigate to **ERP** in the Safety sidebar. The dashboard provides
four components at a glance:

| Component         | Purpose                                                     |
| ----------------- | ----------------------------------------------------------- |
| Contact Directory | Internal, external, and regulatory emergency contacts.      |
| Document Library  | Version-controlled ERP documents and distribution tracking. |
| Exercise Program  | Scheduled drills and exercises with compliance tracking.    |
| Readiness Score   | Composite metric (0 -- 100) of overall preparedness.        |

## Set Up the Contact Directory

  ### Step 1: Open the Contacts tab

  Navigate to the ERP dashboard and open the **Contacts** tab.

  ### Step 2: Add contacts

  Add contacts with their name, category (internal, external, or regulatory), ERP role, phone numbers, and notification order. For the complete field reference, see [ERP Components](/en/reference/erp-components).

  ### Step 3: Set the notification order

  Assign a sequence number to each contact. During an emergency, the notification checklist follows this order.

  <Tip>
    Place your accountable executive and safety manager at the top of the internal notification order.
    Regulatory contacts (NTSB, FAA) should be near the top of the regulatory category.

  ### Step 4: Verify contact information

  Contact details must be verified at least annually. PlaneConnection sends automated reminders 30 days before the verification anniversary.

  <Warning>
    Stale contacts reduce your Readiness Score. Review and verify all contacts at least once per year.

## Manage ERP Documents

<Steps>
  ### Step 1: Open the Documents tab

  Navigate to the ERP dashboard and open the **Documents** tab.

  ### Step 2: Upload a document

  Upload a document and select its type. For the complete list of document types, see [ERP Components](/en/reference/erp-components).

  ### Step 3: Track distribution

  For each document version, record which personnel received it. Recipients must acknowledge receipt, and the acknowledgment completion percentage is tracked.

  ### Step 4: Maintain version history

  When you upload a revised version, the system automatically increments the version number. Previous versions are retained per 14 CFR 5.95.

## Schedule and Track Exercises

  ### Step 1: Open the Exercises tab

  Navigate to the ERP dashboard and open the **Exercises** tab.

  ### Step 2: Schedule an exercise

  Schedule an exercise and select its type (Notification Drill, Tabletop Exercise, Functional Exercise, or Full-Scale Exercise). For exercise type details and frequency requirements, see [ERP Components](/en/reference/erp-components).

  ### Step 3: Complete the exercise record

  After conducting the exercise, document the scenario, participants, objectives, findings, and any corrective actions.

    If you want to track exercise findings formally, link them to CPAs
    for structured tracking and verification.

  ### Step 4: Monitor compliance status

  The system tracks whether each exercise type has been completed within its required frequency. Overdue exercises trigger notifications and reduce the Readiness Score.

## Monitor the Readiness Score

The ERP Readiness Score is a composite metric (0 -- 100) that
assesses overall emergency response preparedness.

### Scoring Components

| Component           | Weight | Criteria                                                          |
| ------------------- | :----: | ----------------------------------------------------------------- |
| Contact currency    |   25%  | Percentage of contacts verified within 12 months.                 |
| Document currency   |   25%  | Documents reviewed/updated within 12 months; acknowledgment rate. |
| Exercise compliance |   30%  | Exercise types completed within required frequency.               |
| Gap closure         |   20%  | Exercise-identified corrective actions that are closed.           |

### Score Bands

| Band            |   Range   | Interpretation                                     |
| --------------- | :-------: | -------------------------------------------------- |
| Ready           | 90 -- 100 | ERP is well-maintained. Organization is prepared.  |
| Acceptable      |  75 -- 89 | Minor gaps exist but readiness is adequate.        |
| Needs Attention |  60 -- 74 | Notable gaps in contacts, documents, or exercises. |
| At Risk         |  0 -- 59  | Significant gaps requiring immediate attention.    |

The Readiness Score appears on the SMS safety dashboard alongside
SPIs. It is included in quarterly management review data and is
visible to Admin and Safety Manager roles.
