User management in PlaneConnection controls who can access your workspace and what they can do. The platform uses role-based access control (RBAC) with roles tailored to aviation SMS requirements.

Prerequisites

  • You must have the system_administrator, safety_manager, or platform_admin role to manage users.
  • You need to be in the Safety module to access team management settings.

Available roles

PlaneConnection defines roles aligned with 14 CFR Part 5 organizational requirements:
RoleDescriptionAccess level
Pilot / Flight CrewSubmit hazard reports, view own report statusLimited — own reports
Safety ManagerManage investigations, review CPAs, monitor complianceFull SMS management
Accountable ExecutiveStrategic oversight, approve investigations and DOCRead + approval authority
InvestigatorConduct investigations, document findingsInvestigation workflow
Maintenance PersonnelReport maintenance-related hazardsLimited — own reports
System AdministratorConfigure system, manage users, troubleshootFull system configuration
FAA InspectorRead-only audit access for regulatory oversightRead + export only
Platform AdministratorCross-tenant platform administrationFull cross-tenant access
The Safety Manager role is the only role that can access confidential reporter identities (per 14 CFR 5.21(a)(4)). Even system administrators and platform administrators cannot view encrypted reporter identities.

Steps

2
In the Safety module, navigate to Settings in the sidebar. Then click Members in the settings menu. This page shows all current workspace members and pending invitations.
3
Invite a new user
4
Click Invite Member to open the invitation dialog:
5
  • Email: Enter the email address of the person you want to invite.
  • Role: Select the role to assign from the dropdown.
  • Click Send Invitation.
  • 6
The invitee will receive an email with a link to join your workspace. Invitations expire after a set period.
    7
Before inviting, check that your workspace has not reached its user limit. User limits vary by subscription tier and are shown on the Subscription settings page.
    8
    Manage pending invitations
    9
The Members page shows pending invitations in a separate section. For each pending invitation you can:
    10
  • Resend: Send the invitation email again if the original was missed.
  • Revoke: Cancel the invitation so the link can no longer be used.
  • 11
    Change a member’s role
    12
To update an existing member’s role:
    13
  • Find the member in the members list.
  • Click the Edit button on their row.
  • Select the new role from the dropdown.
  • Confirm the change.
  • 14
Changing a role takes effect immediately. The user’s navigation menu and available features will update on their next page load. Be careful when downgrading roles, as the user will lose access to resources they could previously view.
    15
    Remove a member
    16
To remove a member from your workspace:
    17
  • Find the member in the members list.
  • Click the Remove button.
  • Confirm the removal in the dialog.
  • 18
Removed members immediately lose access to the workspace. Their historical activity records (reports submitted, investigations conducted, etc.) are preserved for audit purposes.
    19
    Transfer ownership
    20
If you are the workspace owner, you can transfer ownership to another member:
    21
  • Navigate to the Members page.
  • Click Transfer Ownership.
  • Select the new owner from the list of current members.
  • Confirm the transfer.
  • 22
Ownership transfer is a significant action. The new owner will have ultimate authority over the workspace, including the ability to manage subscription and billing settings.
