The Passengers page in the Operations module provides a centralized directory of all passengers who fly with your organization. Manage contact information, search and filter the list, and link passengers to trips.

Prerequisites

  • You must be logged into your workspace with access to the Operations module.
  • Any role can view passengers. Creating and editing passengers may require an operational role.

Steps

In the Operations module sidebar, click Passengers under the People section.

Add a new passenger

Click Add Passenger in the top-right corner. A dialog opens with the following fields:

  • First Name (required): The passenger’s given name.
  • Last Name (required): The passenger’s family name.
  • Email (optional): Contact email address.
  • Mobile (optional): Contact phone number.

    Click Create to save the new passenger record.

    Search for passengers

    Use the search field to find passengers by first name, last name, or email. Results filter in real time as you type.

    Sort the passenger list

    Use the sort toggle to switch between sorting by:

  • First Name: Alphabetical order by given name
  • Last Name: Alphabetical order by family name

    Filter by status

    Use the status toggle to filter passengers:

  • All: Show all passengers
  • Active: Show only active passengers
  • Inactive: Show only inactive passengers

    Use the alphabetical filter

    Click any letter in the A-Z filter bar to show only passengers whose name (based on the current sort order) starts with that letter. Click the # symbol to show passengers whose names start with non-alphabetical characters. Click the selected letter again to clear the filter.

    Edit a passenger

    Click Edit on any passenger row. The edit dialog opens pre-filled with the passenger’s current information. Make your changes and click Update to save.

    Delete a passenger

    Click Delete on the passenger row. A confirmation dialog will ask you to confirm the deletion.

    Deleting a passenger removes them from the directory. If the passenger is linked to existing trips, their historical trip records are preserved.

    Passenger table columns

    The passengers table shows:

    Pagination

    The passenger list is paginated. Use the pagination controls at the bottom of the table to:
    • Navigate between pages
    • Change the number of rows per page (5, 10, 25, or 50)

    Linking passengers to trips

    Passengers are linked to trips during the trip creation process:
    1. When creating a trip, step 3 (Passengers & Notes) lets you search and select passengers from your database.
    2. You can add multiple passengers to a single trip.
    3. Passengers can also be added to existing trips by editing the trip.
