By following this guide, you will track FBO-specific compliance requirements, manage inspection schedules, document staff certifications, and prepare for regulatory and industry audits.
The FBO module must be enabled for your workspace. Contact your workspace administrator if you do not see the FBO section in the sidebar.
FBO compliance management requires the FBO Manager or Admin role. Compliance tracking covers facility safety, environmental, and operational regulations that apply to ground operations.

Access the Compliance Dashboard

Navigate to FBO > Compliance in the sidebar. The compliance dashboard provides an overview of your current compliance posture across all tracked requirements. The dashboard shows:

The compliance page lists all regulatory and industry requirements relevant to your FBO, organized by category:

Step 2: Update compliance status

For each requirement, record the current status:

  • Current — evidence is on file and the requirement is satisfied.
  • Expiring soon — the requirement is current but due for renewal within 30 days.
  • Overdue — the requirement has lapsed and needs immediate attention.
  • Not applicable — the requirement does not apply to your operation (document the reason).

    Upload supporting documentation for each requirement: inspection reports, certificates, permits, training records, and photos. Evidence files are timestamped and versioned.

    From the compliance page, click Add Inspection to create a recurring inspection:

    Step 2: Complete an inspection

    When an inspection is due, the assigned staff member receives a notification. They open the inspection, check off each item, add notes or photos, and mark the inspection as complete.

    Step 3: Review inspection history

    Click any inspection to view its history: past completion dates, notes, issues found, and any corrective actions taken.
    NFPA 407 (Standard for Aircraft Fuel Servicing) and NFPA 409 (Standard on Aircraft Hangars) impose specific inspection frequencies for fuel handling equipment and hangar fire protection systems. Verify your inspection schedules against applicable NFPA standards and your airport authority’s requirements.

    Prepare for Audits

    Use the compliance dashboard to prepare for airport authority inspections, insurance audits, and industry rating audits (IS-BAO FBO, NATA Safety 1st):
    1. Run a gap analysis — review all compliance requirements and identify any items without current evidence.
    2. Update documentation — upload missing or expired documents.
    3. Generate a compliance report — export a summary of all requirements, their status, and attached evidence as a PDF for the auditor.
    Schedule a monthly compliance review to catch expiring items before they lapse. The upcoming deadlines section of the dashboard makes this a 5-minute check.
